Records you need before you start
A reader wants a records checklist before they start filling anything in.
Nothing here decides whether a return is due for you, what your status is, or who you may claim. Those turn on your own facts.
A form arriving is not the rule
A form arriving in the post is evidence of an amount. The duty to file comes from the statute and the amounts it sets for the year, so a missing form does not remove it and an unexpected form does not create it.
What the rules say
We do not work out anyone's tax, refund or balance. We explain what each rule asks for; the arithmetic belongs to you and to whatever you file with.
- The individual income tax return is Form 1040, and schedules are parts of that return rather than separate filings.
- The taxpayer keeps the records that support the items on the return; the records are retained rather than transmitted with an electronically filed return.
- Where a wage statement does not arrive, the Service describes a substitute route rather than treating the wages as unreportable.

- A record of pay and withholding where a wage statement never arrived — A missing statement does not remove the duty to report the wages, and there is a published route for filing without one.
The forms involved, and what each one is
There are two different kinds of document here: ones you receive and copy from, and ones that are part of the return itself. They are easy to confuse and they behave nothing alike.
- Form 1040, U.S. Individual Income Tax Return — the return itself. Filing the return does not establish that the positions taken on it are correct.
- Form 1040-SR, U.S. Tax Return for Seniors — the return itself. Using the seniors version of the return changes presentation only; it is not a separate set of tax rules.
- Form W-2, Wage and Tax Statement — information return input. W2_DOES_NOT_ALWAYS_MEAN_MUST_FILE: the statement reports wages paid and amounts withheld. It decides no filing obligation.
- Form 1099-NEC, Nonemployee Compensation — information return input. FORM_1099_DOES_NOT_SET_FILING_REQUIREMENT and does not establish a trade or business.
- Form 1099-K, Payment Card and Third Party Network Transactions — information return input. Reports gross payment volume a settlement organization processed. It is not a measure of income and creates no schedule.
- Schedule K-1 (Forms 1065, 1120-S, 1041), Partner's / Shareholder's / Beneficiary's Share — information return input. An entity-level document. Basis and at-risk analysis is outside Self-File V1.
- Purchase and basis records for property sold — supporting record. Kept by the taxpayer. Not transmitted with an electronically filed return.
- Business gross receipts and expense records — supporting record. What is deductible is the Gig Worker Center's certified subject, not Self-File's.
What we are not saying
- Not: that a schedule is filed on its own.
- Not: that a document received must be attached to an electronic return.
- Not: that keeping no records is acceptable where a form was received.
- Not: that a missing statement excuses reporting the wages.
- Not: Receiving no form does not mean there is no filing obligation.
